Approval records the decision. Stock changes only when goods are received.

A practical result, not a demonstration.

You may recognise the pattern.

  • Approvals repeatedly return to one person.
  • The approver must ask for missing context.
  • Requests are buried in messages.
  • No dependable record shows who approved what and why.

What changes

  • Faster routine decisions
  • Clear authority
  • Complete approval context
  • A searchable decision record

The practical details.

What’s included, what it connects to and how it works.

From trigger to next action.
  1. Request is submitted
  2. Required evidence is validated
  3. Authority rules select the approver
  4. Decision and comments are recorded
  5. Outcome triggers the next action
An example in practice

A team member requests an out-of-policy discount. The form will not submit without the customer, the amount and the reason, so the approver never has to ask for missing context. Authority rules send it to a team lead below a threshold and a director above it, and anything unanswered escalates rather than waiting to be chased.

How far can we take it?

A starting point

One request form collecting amount, reason and attachments; threshold-based routing; and a decision log. Include rejection, requests for more information and overdue reminders.

Additional work to consider

Conditional authority matrices, several approval stages, financial controls or regulated audit requirements.

What can it connect to?
  • Web and mobile request forms
  • Sign-in, roles and authority rules
  • Email and messaging notifications
  • Document and evidence attachments
  • Downstream systems via their APIs

We’ll check what your existing tools let us access before including a connection in the plan.

Can approvals still happen from email or messaging?

A notification can link the manager to the request, where they check the details and record a decision. That keeps the decision with the request.

Can different amounts require different approvers?

Yes. For example, a team lead could approve a small purchase and a director could approve a larger one. We agree the amounts and any additional checks with you.
